Purpose of gathering, processing and use of data
The Deutsche Gesellschaft für Internationale Zusammenarbeit (GIZ) GmbH is a service provider in the field of development cooperation with worldwide operations. We work as a federally-owned company under private law. Our aim is to achieve the development-policy objective of improving the living conditions of people in developing and emerging countries on a sustainable basis, and conserving the natural resources on which we depend.

Within the framework of these activities we gather, process, use and in some cases transfer personal data for the purposes of obtaining, implementing and invoicing contracts and commissions.

At CIM (Centre for International Migration and Development), a GIZ specialised business unit, data are gathered, processed, used and in some cases transferred within the framework of placing experts with a development-policy mandate; the data are used to place suitable experts and, if appropriate, to grant a topping up payment.

The Human Resources Department gathers, processes, uses and in some cases transfers personal data for its own purposes (such as human resources management, the company pension scheme, applications management, salary calculations, managing official travel) and to meet statutory obligations with respect to social insurance or other provisions.

Definition of the groups of individuals concerned and the pertinent data/data categories
In the performance of our business activities the address, contractual and payment data as well as electronic communication data relating to clients, contractors and others (including consultants, self-employed experts, employees of consulting firms) is gathered, processed and used.

In the Human Resources Department (individuals concerned: Head Office employees [including interns, guest students], seconded staff, national personnel, integrated experts, family members [crisis file, allowances], applicants, recipients of assistance, future recipients of a company pension, former employees), additional information on qualifications, beginning and end of employment, wages and salaries, old age pension insurance and social insurance, bank accounts, warnings issued, references and application documents are gathered, processed and used.

Recipients/categories of recipients with whom the data can be shared
Administrative officers responsible within GIZ (e.g. officers involved in accounting, invoicing, contracts, telecommunications and IT). External bodies depending on the case in question (German Federal Ministry for Economic Cooperation and Development (BMZ); German Federal Foreign Office; donors such as the World Bank, the EU, the Asian Development Bank will be given the data relating to planned staff in the case of GIZ IS offers, etc.).

For human resources management purposes: in-house units involved in the business process concerned (human resources division, superior); public bodies that receive the data on the basis of statutory regulations (e.g. social insurance schemes, inland revenue, health insurers); credit institutions (for salary payments); creditors (in the case of wage or salary attachment); travel agencies, etc.

Regular data deletion deadlines
Personal data is regularly deleted when it is no longer needed for contractual purposes (e.g. for employment, topping up, rental, sale or services contracts), when the individuals concerned have not given any separate authorisation and when statutory data storage obligations and periods mean that it is no longer necessary to store the data.

Planned data transmission to third states
As a general principle, data will not be transmitted to third states. Exceptions are possible under exceptional legal circumstances.
