Project Administrator - SAVax Project

South Africa is one of the most severely affected countries in Africa by the COVID-19 pandemic. The livelihoods of large parts of the population have been severely affected by lockdowns of various degrees with many people surviving only thanks to social cohesion and government support. Vaccination rates are still low despite major efforts by all actors (government, civil society, religious leaders, private sector). On the other hand, South Africa, as part of a pan-African strategy plans to strengthen local production of vaccines in the short and medium term. Supporting the vaccine production ecosystem will make part of the new GIZ project in South Africa.

For the immediate operational and administrative support of the the SAVax project, GIZ is recruiting an experienced office manager with strong organisational skills and a service delivery mindset.

The Office Manager is responsible for:

TASKS:

  • Overseeing general office operation incl. greeting visitors, answering incoming phone calls and delivering professional service to our partners and clients
  • Coordinating appointments and meetings
  • Purchasing office supplies and equipment and maintaining proper stock levels managing the programme resources and assets responsibly and in line with GIZ Rules and Orientations
  • Managing logistics for events including supporting participants of events (flights, accommodation, per diems, visas etc.)
  • Support the Financial Manager by i.e. contacting external service providers to obtain information on documents and preparing final clearing voucher for the office bookkeeping
  • S/he shall file documents in reference files or in DMS in line with GIZ’s filing rules
  • Write minutes of meetings
  • Elaborate presentations and hold them within the team.
