Good Multi-Level Governance Cluster within the Ukraine portfolio of GIZ comprises projects supporting transparent, efficient, and sustainable governance reform in the restoration efforts already going on in the war -stricken country, shaping its future as a modern European nation. The projects cater to an effective collaboration of the national, regional, and local levels of administration, promoting subsidiarity as a principle of democracy, as Ukraine aligns with the acquis Communautaire of the European Union. 

 

The Cluster Management Unit (CMU) and its approximately 40 employees provide commercial and administrative services for the projects in MLG Cluster. The CMU is organized into three teams (Finance and Accounting; Contracts and Procurement; Events, Travel and Office Management, IT); your task is to lead the “Events, Travel and Office Management, IT” team, which currently has 15 employees.

Key responsibilities:

  • Meets and greets visitors and guests in the Cluster office, supports and arranges meetings.
  • General office services, daily reception and secretarial services (answering incoming phone calls, processing of incoming and outgoing documents and invoices, etc.).
  • Supervises courier services; organizes the deliveries of different types of materials and goods (water, stationery, household goods, etc.); supervises stationery, household and other goods.
  • Ensures creation and regular update of lists of contacts/ addresses/ birthdays/ etc.
  • Drafts business letters, emails in English or Ukrainian language, when required.
  • Participates in procurement related processes (prepare service request, conduct of market research, supplier choice justification, cost calculation preparation, etc.).
  • Filing of documents/papers in accordance with GIZ filing rules.
  • Supports office work, provides assistance to the Management, the Finance/Admin, Technical staff and Office Management.
  • Performs other duties and tasks at the request of management.

Required qualifications, professional experience and personal competences:

  • Bachelor’s degree or comparable.
  • Excellent command of Ukrainian and English, knowledge of German language is an advantage.
  • Sensitivity in handling and disposing of potentially important documents.
  • At least 1-year professional experience in a comparable position in the international environment.
  • Experience with courier services and purchase of goods.
  • Basic understanding of payment documents (for goods and services).
  • Neat and professional appearance, polite approach in dealing with visitors and staff in the Cluster office.
  • Team player with intercultural communication skills, customer and service-oriented attitude.
  • Strong attention to details and ability to work with numbers.
  • Good working knowledge of computer applications and IT technologies (MS Office, MS Teams, technical equipment for meetings and conferences, etc.).
  • Willingness to upskill as required by the tasks to be performed – corresponding measures are agreed with the superior.

Employment conditions:

Full-time position with 40-hours working week. Place of assignment is Kyiv. Starting as soon as possible. The contract duration will be 12 months with the possibility of prolongation.
